How does a project-status document improve collaboration between AI agents?

Learn how a maintained project-status document coordinates AI implementation, review, and QA using ownership, evidence, dependencies, and clear next actions.

How does a project-status document improve collaboration between AI agents?

A project-status document gives collaborating AI agents a shared account of what is happening now. Product requirements describe intended behavior; status describes implementation progress, current ownership, unresolved issues, and the evidence available for the latest work.

Make ownership and dependencies visible

For a wedding application, one agent might build event editing while another reviews authentication and a third checks dashboard behavior. Record each task's scope and the files or interfaces it affects so agents can avoid overlapping edits.

Name dependencies explicitly. An invitation screen may be ready visually but unable to send messages until the email configuration and permission rules exist. Marking it simply “done” would mislead another agent into treating an incomplete journey as operational.

Describe progress with evidence

Useful states include implementation in progress, ready for review, verification failed, and completed with specified checks. Attach the relevant revision or working-tree snapshot, test command, observed result, and outstanding finding.

For example: “Event editing persists correctly for an organizer; collaborator access has not been verified.” This is more useful than “event editing mostly works.” It tells the reviewer what can be trusted and directs QA toward the remaining uncertainty.

Keep the document concise and update it when significant state changes occur. Long stale reports are harder to use than a short current summary with links to detailed findings.

Support a reliable handoff

Before another agent takes over, record the next action, known limitations, and any decision that needs a developer's input. The receiving agent should verify the repository state before continuing because concurrent work can outdate the handoff.

Status notes should not include credentials or unnecessary user data. They coordinate work; they do not grant permission to deploy, send real invitations, or alter unrelated systems. Those actions should follow the actual task authorization and environment controls.

Mark the interface as implemented and the user journey as incomplete. Name the missing API dependency so another agent does not mistake the feature for production-ready behavior.

Include the relevant revision or change snapshot, checks performed, observed outcomes, and remaining limitations. Completion should refer to the agreed acceptance criteria for that task.

No. A status note communicates progress and dependencies. Sending invitations requires authorization from the task and access controls appropriate to the actual recipients and environment.
